Workplace Coordinator

We are looking for a rockstar coordinator that will join our Workplace Services team called The Roadies! As a coordinator on the Operations & Experience team within The Roadies you will keep things running smooth daily. No stone goes unturned when identifying areas for improvement within the 500K+ sf of space. 

What you’ll do

  • Oversee office vendors to make sure the scope of work is being maintained (ie. first aid kit refill, AED maintenance, bike room access, plant maintenance, shredding)
  • Procure, stock and organize all office supplies in each supply room
  • Perform regular walk throughs on your assigned floors daily to make sure space is in order
  • Must be comfortable putting furniture back in place, carrying monitors to the IT bar and other things that require lifting
  • Anticipate office needs and proactively address them 
  • Escalate maintenance issues to the proper OM team member or third party service provider
  • Work cross-functionally to balance competing priorities, think creatively to propose unique solutions, and communicate clearly and effectively to all stakeholders
  • Rotate into the front desk coverage schedule daily
  • Set up new hire desks/clean up leavers desks
  • Help the NY Facilities Manager and Workplace Lead visually refine the spaces when necessary
  • Consistently engage with Spotifiers
  • Assist managing the package and personal locker systems
  • Develop partnerships with internal partners (IT, Security) 
  • Be a problem solver and thought leader 
  • Communicate with internal stakeholders, vendors and other GWS team members 
  • Help craft the visitor experience and innovate ideas to make it rock! 
  • Help transform spaces to create invigorating atmospheres different from what they were before
  • Update internal comm pages as necessary with updates to our procedures or office guidelines
  • Assist stakeholders with needs related to the office
  • Help manage digital and physical signage. Adobe CS/Graphic Design experience is a HUGE plus! 
  • Assist the FM and Workplace Lead in managing seating changes, total restacks and moves
  • Manage physical signage throughout the space
  • Assist with bike room access
  • JIRA ticket assignment and open ticket monitoring
  • Plan fun workplace experiences/pop-ups for your fellow colleagues
  • Interface with the building to manage bookings such as vendor approvals, loading dock reservations and freight. 

Who you are 

  • Previous experience in office operations necessary (examples: office or workplace services coordinator)
  • Previous vendor management experience
  • Ability to field a heavy volume of requests at once but never compromise quality
  • Be customer service oriented
  • Ability to walk the space and see areas for improvement, vendors that need to be called
  • Must be comfortable moving items that require lifting 
  • Strong organizational skills, detail oriented
  • Be open to change
  • Be a deep thinker who looks for root causes for problems
  • You are a team-player with strong written and verbal communication skills
  • You are passionate about the workplace experience 
  • A written and verbal communication superstar
  • Experience with Google Suite, JIRA, and Coupa is a plus
