Mission Operations Support, Growth Opportunities

The Growth Opportunities Mission is a part of Spotify’s R&D organisation and our mission is to grow the number of new free users throughout the world by innovating on our product. We currently have 8 teams working in our Mission and we are constantly spinning up new ones as we keep growing. The teams are focused on driving projects (e.g. localization of our product for a market launch) to optimizing and owning the funnel into the product (e.g. sign up, product onboarding). The teams are distributed across Stockholm and New York.This role will be based in New York and will support the NYC based leads and teams with operational support, reporting into Susanne Dalström, Mission Operations Lead. This is an all-encompassing role for someone that likes being the spider of the web, working on multiple tasks/projects at the same time in a hectic, chaotic and fun environment. You are used to working independently and taking decisions and driving progress. We are driven by making impact and we want to do so by taking informed strategic decisions and deliver on what we commit to. As a Mission we collaborate with a lot of other departments at Spotify and therefore we value strong communication and collaboration skills.

What you’ll do

  • Manage NYC Mission leads diaries as well as organize, plan and prepare meetings, including agendas and taking notes when needed
  • Coordinate meeting logistics, incl. room availability, equipment, food and beverage and other requests for the team
  • Organize travel arrangements globally for the NYC Mission leads when needed as well as administrative expenses and reports
  • Plan and organize workshops and offsites and coordinate with STO
  • Organise Mission social events and other team happenings and coordinate with STO
  • Own the process of onboarding and communications of new hires, from pre-onboarding to follow up
  • Coordinate onsite interviews for external candidates
  • Drive and own the different internal communication channels – ensuring that we are following the Missions communications strategy in the most effective way, also making sure there is closeness created between NYC and STO and the different teams
  • Being the representative for the NYC part of the Mission when it comes to office locations and seating discussions and requirements, as well as space management in existing location
  • Assist the Mission Operations Lead in budgeting, forecasting and staffing exercises
  • Manage own projects from time to time

Who you are

  • You have at least 5 years of working experience as admin assistant/ EA/ office manager or equivalent
  • You know how to be flexible and prioritize, have good organizational skills, and ability to work under pressure
  • You are highly proactive and always take the initiative
  • You are experienced with assisting both managers and larger teams with tasks that stretch both high and low
  • You care about giving great administrative service and operational support to your team
  • Fluent in written and spoken English
  • Experience in working with communications
  • You have excellent computer skills preferably familiar with Google mail, docs and calendar
  • Skilled in relationship building with a high sense of integrity
  • A great team player and help out wherever needed
  • Experience in working in a fast paced dynamic and international environment
